1. About this policy
This policy explains how Auslink Security collects, uses, stores and shares personal information when you visit our website, make an enquiry or engage our services.
Website: https://auslinksecurity.com.au/
2. Information we collect
Depending on your dealings with us, we may collect your name, phone number, email address, installation address, suburb and postcode, property type, service requirements and project details.
We may also keep communications, quotations, customer and job records, information needed for invoicing and accounting, and equipment or security-system details relevant to work we perform.
3. How we collect and use information
We collect information when you submit a website enquiry, contact us, request a quote or service, or communicate with us during a job.
We use it to respond to enquiries, assess requirements, prepare quotations, arrange and perform work, manage customer and job records, provide maintenance and warranty support, and meet applicable business, accounting and legal obligations.
The checkbox on our website quote form authorises us to contact you about that enquiry. It does not subscribe you to marketing.
We do not currently send promotional email or SMS campaigns. If we introduce them, we will address applicable consent and unsubscribe requirements before doing so.
4. CCTV footage and system credentials
Authorised Auslink Security technicians may view live or recorded CCTV footage during installation, commissioning, testing or troubleshooting.
We do not normally download or retain copies of customer footage.
We may temporarily use CCTV, alarm or access-control administrator credentials during installation or maintenance.
Arrangements vary between customers and installations.
We do not normally retain customer passwords after completing the work.
5. Who may access information
Within Auslink Security, the business owner and authorised employees may access customer information for legitimate business purposes.
Technology providers may process information as needed to supply the services described below.
Provider processing is distinct from access by Auslink Security personnel.
6. Service providers and overseas processing
We use Hostinger for website hosting and backups; WordPress, Fluent Forms and FluentBoards for website enquiries and job records; Microsoft 365 for business email; and MYOB for invoicing and accounting.
Our website hosting server is located in Indonesia, and website backups are stored in Singapore.
Information submitted through our website and held in its WordPress database may therefore be stored or processed in Indonesia and included in backups in Singapore.
Microsoft 365, MYOB and their service providers may also process information in Australia or overseas, depending on the services and arrangements involved.
We do not represent that all customer information remains in Australia.
7. Storage and retention
We retain customer information and job records for customer service, future maintenance, warranty matters, job administration, legitimate business needs, and applicable accounting and legal obligations.
The period for which a record is needed depends on its purpose and any applicable requirement; we do not apply one retention period to every record.
We use available access controls to manage access to our business systems.
No method of electronic storage or transmission can be guaranteed completely secure.
8. Website cookies and technical information
Our website may use cookies or similar technologies to support its operation, security and performance.
Visiting the website may also generate technical information needed to deliver its pages and services.
You can manage cookies through your browser settings, although restricting them may affect some website functions.
We will review this policy if the website technologies we use change.
9. Access and correction
You may contact us to ask for access to personal information we hold about you or to request correction of inaccurate information.
We may need to verify your identity before responding.
We will handle requests in accordance with applicable law.
10. Privacy concerns
If you have a question or concern about how we handle your information, please contact us using the details below.
We will review your concern and respond as appropriate.
Where applicable, you may also be able to complain to the Office of the Australian Information Commissioner (OAIC).
